Using the Scheduling Pool functionality

What is a Pool?

A Pool is created to group certain Interviewers together when the attendance to the Event is required but it's not known which particular person is required out of the lot, on the contrary only the number of required attendees is specified.

The same Pool can be reused multiple times across Events in the Template. After the availability calculations are completed and the event scheduled, the interviewers will be randomly selected from the Pool. The selected interviewer(s) will be set for that Pool from that moment on whenever that Pool is used again, meaning, for each Event in the sequence where this same Pool has been used the same people will be selected again.

Use case example:

The Organizer wants 1 member of the HR team to conduct the first event in the sequence: e.g. Introduction to the Company Culture. And it does not matter WHO will be selected from the HR Team aka. Pool.

BUT it is important that whoever is selected for the introduction part to also be selected for the last event in the sequence where he will do the closure of the interview.

The Pool value lies in being able to control who will be selected in ALL the events in a Sequence even when it's not possible to determine before the availabilities are calculated.

Pool rules:

  • A Pool can have 1 required attendee out of many, or many required out of many: N out of X. N can be a maximum 10. Maximum 10 required attendees.
  • A Pool can be used only once per single event.
  • A Pool can be used multiple times across different events in the template.
  • All created Pools need to be used across the events in the template, otherwise, they need to be deleted.

  • Users can create a Pool from the 'Add Event Block' modal by clicking the 'Create Pool' button.
