Build a Journey (Event)
A journey (event) is a structured workflow that guides an employee through a lifecycle process. It defines what needs to happen, who is responsible, and when each step is due.
What a journey contains
A journey is made up of:
- Tasks — Individual action items assigned to people or teams, with activation dates, due dates, and dependencies
- Forms — Documents the employee or assignee fills out (offer letters, tax forms, acknowledgements, compliance documents)
- Notifications — Automated messages triggered when tasks activate, become overdue, or are completed
- Dependencies — Rules that control when tasks activate based on the completion of other tasks
- Categories — Criteria that determine which tasks are generated for a specific employee (e.g., by location, department, or job type)
Examples
Common journeys include:
- New hire onboarding — Welcome tasks, I-9 completion, benefits enrollment, equipment setup, manager check-ins
- Employee offboarding — Exit interview, equipment return, access revocation, knowledge transfer
- Role change or promotion — Updated agreements, new team introductions, training assignments
- Compliance workflows — Annual policy acknowledgements, I-9 re-verification, license renewals
- Mergers & acquisitions — Integration tasks, system provisioning, culture onboarding
How to build a journey
Event definitions (standard)
Create a journey manually using the event definition form. Configure general settings, categories, people, dates, and task structure step by step.
ROSI Journey Builder (Beta)
Describe what you need in plain language and ROSI generates the full journey structure — tasks, timelines, dependencies, and descriptions — in minutes. Continue refining through conversation until you're ready to publish.
ROSI Journey Builder must be enabled for your organization. Contact your CSM to learn more or request access.
