Form types overview
Workflow supports several types of forms that can be associated with tasks. The form type determines how the form is built, how it behaves, and what features are available.
Form types
| Form type | Description | When to use |
|---|---|---|
| Smart Forms | The current-generation form builder (Gen 2). Drag-and-drop interface with conditional logic, calculations, and modern field types. Can be created manually or with ROSI Form Builder. | New forms. Recommended for all new form creation. |
| Classic Forms | The legacy eForm Builder (Gen 1). Template-based forms with basic field types. | Existing forms that have not been migrated. Still supported but no longer actively developed. |
| Rival Library Forms | Pre-built forms provided by Rival (e.g., I-9, W-4). Available for use but not editable by client administrators. | When a standard form (e.g., I-9, W-4, direct deposit) meets your needs without custom development. |
| Rival Custom Forms | Forms built by Rival Professional Services for your specific requirements. | Complex forms requiring custom logic, integrations, or layouts not achievable with self-service tools. |
Key differences
- Smart Forms support conditional visibility, calculations, text wrapping, page breaks, and ROSI AI-assisted creation.
- Classic Forms support basic fields and simple layouts. They cannot use conditional logic or ROSI features.
- Both Smart Forms and Classic Forms can be associated with tasks and included in download packages.
- Library and Custom forms are managed by Rival and cannot be edited directly by client administrators.
Good to know
- Your organization may have a mix of form types. The form type is visible on the Forms Library page.
- If the New Forms Library is enabled (Administration > Settings > UI), the Events & Forms menu appears in your navigation and ROSI Form Builder becomes available. Without it, Forms is managed under Administration.
- Classic Forms can be converted to Smart Forms using the Convert action in the Forms Library. Note: Rival Custom Forms are not eligible for one-click conversion.
