I-9 Forms & E-Verify overview
This section applies to U.S. clients only. Form I-9 and E-Verify availability depends on your organization’s configuration and your team privileges.
Form I-9 (Employment Eligibility Verification) is used to verify an employee’s identity and authorization to work in the United States. In Workflow, Form I-9 is completed electronically using USCIS form rules and validation.
E-Verify is an optional, internet-based program that compares information from Form I-9 to DHS/SSA/DOS records. If enabled, Workflow supports submitting a case to E-Verify and tracking the response through resolution.
How it works in Workflow
- Section 1 (Employee) – The new hire completes Section 1 from a portal task.
- Section 2 (Employer) – After Section 1 is completed, an employer task activates to review documents and complete Section 2.
- E-Verify (Optional) – If your organization uses E-Verify, authorized users can submit the case and complete any required follow-up steps (for example, photo match or TNC).
Common tasks
- Complete Form I-9 – Complete Section 1 in the portal and Section 2 in Workflow.
- Correct an I-9 – Reopen the appropriate I-9 task (employee or employer) to fix errors or re-run steps when needed.
- Submit an E-Verify case – Provide submitter details, confirm case fields, upload supporting documents if prompted, and initiate verification.
- Resolve E-Verify results – Review Employment Authorized, Photo Match, Duplicate Case, or Tentative Nonconfirmation (TNC) outcomes and follow the required process.
Good to know
- Privilege-based access – What you can see and do (I-9 dashboard, packages, submissions, status changes) depends on your assigned privileges.
- System behavior – If an I-9 is reopened after E-Verify submission, a new case may be created based on E-Verify rules.
- Form versions – Your organization must configure the I-9 version used in Workflow to match current USCIS requirements.
