Event definitions
An event definition is the blueprint for a journey — it contains everything needed to launch and run a lifecycle workflow for employees. Event definitions include the event's identity, audience, categories, people, dates, and task structure.
You can create event definitions manually using the steps below, or use ROSI Journey Builder to generate one with AI.
Note: Creating and editing event definitions requires the Manage Event Definitions privilege.
On this page:
- Create an event definition
- Event identity and configuration
- Audience and launch permissions
- Settings
- Categories
- Attributes
- People
- Dates
- Publishing and versioning
- Permissions
Access the Event Definition page
From Manage Journeys (or Manage Events), click an event card to open its Event Definition page.
Create an event definition
- From Manage Journeys, click Build new event.
- Enter an event name, select an event type, and assign at least one launching team.
- Complete additional settings as needed (see below).
- Click Save.
The minimum required fields are: Event Name, Event Type, and at least one launch team.
Event identity and configuration
| Field | Description |
|---|---|
| Event Name | Editable inline (click the pencil icon to edit). Visible on the Launch an Event menu and Add a New Employee page. |
| Event Type | Required. Classifies the lifecycle process. Select from the system-defined list: New Hire Onboarding, I-9 Re-verification, M&A, Relocation, Form I-9, Transfer, LifeEvent, or Other (reveals a free-text field, max 50 characters). Admins cannot add new predefined values — use “Other” for custom types. |
| Portal URL | The portal home page for this event. Click Browse to select from the content catalog. Employees are authorized to access the portal when the event is launched on their behalf. |
| Days Available | Number of days tasks remain visible on the dashboard after the last task is completed. Range: 1–160 days. |
Audience and launch permissions
| Field | Description |
|---|---|
| Audience | A label describing who benefits from this event (e.g., New Hire, Existing Employee). Select from existing audiences or click Create a New Audience to add one. |
| Select Team(s) to Launch Event | Choose which team(s) can launch this event. Only members of the selected teams will see this event in the Launch menu. |
Settings
| Setting | Description |
|---|---|
| Suppress New Hire Welcome Notification | When checked, prevents the system welcome email from being sent when the event is launched. |
| Allow Task Customization | When checked, event coordinators can add or remove tasks during launch. When unchecked, the Customize Tasks button is hidden — though tasks can still be modified after launch. |
Categories
Categories define the matching criteria that determine which tasks are generated for an employee. When you add categories to an event definition, those categories become required inputs at launch. The system compares the values selected at launch to tasks configured with matching criteria, and generates only the relevant tasks.
To add a category:
- On the Event Definition page, click Add Category.
- Select from the list of defined categories.
- Choose an existing label or create a new alias:
- If the category occurs once for the event, choose from the existing list.
- If the category occurs more than once, enter a new alias name.
- Click Done, then Save.
You can set the display order and whether each category appears in event details.
Attributes
Event attributes carry additional information that may be used by system integrations. Click Add Attribute to select attributes. You can set display order, mark as required, and choose whether to show in details.
Note: Managing event attributes requires the Manage Event Attributes privilege.
People
Click Add Person to associate roles with this event. The specific person for each role is selected when the event is launched.
People can be marked as optional — the event launches without them, and they can be added after the event is live. To make a person optional, uncheck the Required checkbox.
Dates
All tasks have activation, warning, and due dates calculated relative to defined date anchors. Click Add Date to create a new date label (for example, Start Date, Transfer Date, or Termination Date).
The actual date value is selected when an event is launched. An event can use multiple date anchors. Set the display order to control how dates appear on the launch page.
Note: The effective date is used as the starting point for calculating the Government Due Date for Form I-9.
Publishing and versioning
Event definitions are versioned. When you edit a published event definition, the system creates an unpublished copy so that employees on active launches are not affected.
After saving changes, the Manage Task Definitions page shows an information box with three options:
- Publish — Sets the current version to live. New launches will use this version.
- Cancel Unpublished Changes — Discards recent changes. Does not affect tasks already generated from the published version.
- View Version History — Shows the published hierarchy and links to prior versions.
Good to know:
- Updates to a task definition do not affect tasks that already exist from a prior launch.
- If your changes do not affect the dependency structure, an unpublished copy is not created and publishing is not required.
